Having a conference or event where everyone is coming together? Its a great opportunity to have headshots done or updated. In this fast moving business world, being personable and introducing your team with a set of headshots can really help someone feel like they can relate to a company. Business headshot portraits are now really important, as is their need to be professional, engaging & consistent so a unified staff brand is presented. Our corporate headshots, portraits and profile photos are shot to always convey Confidence with Approachability in order that everyone in your team, large or small look their very best.

Key Points

Space? We need an area roughly 4m wide by ideally 4-5m long, preferably close to break out/food areas and not stuck a long way from the action

Numbers? There is no minimum or maximum headcount, so our headshot service is perfect for large & small events

Time? On average we require approx 2-3 mins per person, its a balance of having enough time to help someone relax to create a great headshot with being fast enough so everyone gets a chance

Look? The look & style of the shots will be created to match the brand & where the images are going to be used. We aim on a consistent look across all staff & can shoot with white, grey or black backgrounds

Selecting? We will create an online proofing gallery on the same day for images to be chosen. For smaller events with less attendees then we can have screens for guests to pick on the day

Which Background?

When we are setting up a headshot studio on location at your conference or event, you choose from 3 main styles to choose from, and these are based around the colour of the background. The preferred background colour will normally be linked to your website design or where the image is going to be used, your company brand or even a design preference. The three background options that you have are:

White Background / High Key

Grey Background

Black Background / Low Key

How to Prepare

BEFORE THE SESSION

We will discuss the event with you in detail in the lead up to the event. We can discuss the location and where we are setting up the headshot studio, what background, look and styling we are going to use and we can also discuss the process required for choosing the image for each person. We are also very happy to provide help and advice on how staff should prepare for being photographed which can be shared with staff in advance.

ON THE DAY

Our photographer will turn up at the agreed setup time and will have the headshot studio set up in the agreed location in plenty of time ahead of the agreed start time. We will then proceed to photograph each person as agreed, coaching and supporting each person using our experience relaxed & friendly skills and techniques into achieving a great headshot for everyone. This will be balanced with speed, so we will work promptly and efficiently to ensure has time to get their headshot done.

Image Choosing

Normally we will create an online gallery, that is password protected, for you to access and choose the final images. For smaller groups or if we have enough time we can shoot live to computer screens so each person can choose their image there and then after having been photographed. We will discuss the best option for you in advance.

CLOTHING

The #1 rule for us regarding your outfit/look is that you have to love it! If you don’t feel comfortable or confident in it, you most likely won’t shoot well while wearing it. For headshots we are only really going to see from just below the collarbone, so only consider what will be seen from this level upwards.

Avoid really heavy patterns, stripes or floral designs as these can draw the viewers eye away from your face

For those booking a standard or full session, feel free to bring a range of different options for clothing. We suggest you bring a range of different cuts, colours, and necklines. For our corporate clients, we like the men to have a variety of jacket/shirt/tie combos and for the women some options of blouse/dress/jacket combos.

Keeping jewellery to a minimum is key. Small earrings and studs work as do simple necklaces, anything hanging or chunky will usually draw too much attention to itself.

If you wear glasses and have multiple pairs, then we'd appreciate you bringing them along in order to ascertain their glare factor. Please make sure all glasses are really clean.

If you have any doubt about whether something will work or not just bring it along. Layers are fantastic for actors and no need to be seasonal; everything from t-shirts, tank tops to sweaters and light jackets can work. Have some fun with this, if you feel your wardrobe is missing something then go shopping and we’ll keep the tags on it in case you’d like to return the items after the shoot.

Hair

We ask that everyone come in with their hair ready, and the way you would like to present yourself. We want your hair in your pictures to be as close as possible to the way you look on a fantastic hair day, but we will need it off of the face - so it may be worth having a hairband to hand in case needed

Makeup

Please keep the coverage as matt as possible - our lights are powerful and can cause sheen areas on glossy/shiny makeup. Feel free to bring your makeup with you incase you need to boost it or touch up any areas
